For processing activities where Fluxidi itself determines the purposes and means, Christophe Vanrokeghem, trading under the name Fluxidi, is the data controller.

Fluxidi provides software to taxi, VVB, VTC and other transport companies. The transport company is generally the data controller for the personal data of its customers, passengers, drivers, vehicles and rides. Fluxidi then processes that data as a data processor on behalf of the transport company.

Fluxidi is the data controller for, among other things, account management, subscriptions, billing business customers, security, technical support, website management, demo requests, its own administration and compliance with legal obligations. Questions about a specific ride may therefore be forwarded to the transport company concerned.

Depending on the functions used, we may process:

• account and contact details, such as name, email, telephone number, language, country, role and company details;
• driver and vehicle details, such as profile, photo, availability, documents, permits, licence plate and vehicle type;
• passenger, booking and ride details, such as pick-up and destination address, date, time, notes, ride status, route, distance, duration, waiting time and price;
• precise or approximate location data during functions that require location;
• payment and billing details, such as payment method, payment status, amount, currency, transaction reference and invoice details;
• documents, images or camera footage that the user deliberately uploads or scans;
• hotel searches, stay dates, occupancy and forwarded booking information when the hotel feature is used;
• event searches, selected region, opened results and external referrals;
• technical data, such as IP address, device, operating system, app version, error messages, security logs and synchronisation status.

Do not enter sensitive information in free-text fields unless it is strictly necessary for the safe execution of a ride.

We process data to manage accounts and access rights, carry out bookings and rides, dispatch drivers, calculate routes, provide navigation, determine distance and fares, process payments and invoices, maintain audit and compliance records, provide support, prevent fraud, and secure the platform.

The legal basis depends on the processing involved: performance of a contract, compliance with a legal obligation, consent, or our legitimate interest in security, fraud prevention, customer service, and improving reliability. When Fluxidi acts as a processor, the transport company determines the applicable legal basis.

Fluxidi may process precise location data to determine the departure position, display a route, dispatch a driver, track an active ride, calculate distance and fare, and enable rerouting. Location data is processed only when a function requiring location is actively used and the user has given permission for this.

Location data is not sold or used for advertising profiling. The user can disable location access through Android, but navigation, ride tracking, dispatching, and distance calculation may then not work fully or at all.

Fluxidi may record ride events such as start, stop, status changes, payment, cancellation, and technical synchronization. The internal Chiron functionality groups such events for audit, support, and compliance. Only authorized users of the relevant transport company and authorized Fluxidi support staff have access within their role and business context.

When the hotel search function is available, Fluxidi may display hotel information, search forms, widgets, or referrals from RateHawk / Emerging Travel Inc.. Under the current affiliate and referral model, Fluxidi provides a technical interface and is not a hotel, accommodation provider, tour operator, or travel agency. The hotel reservation is processed by RateHawk and/or the relevant accommodation or supplier under their own terms and privacy policies.

When you use a RateHawk link, search form, or widget, search data and an affiliate cookie or similar identifier may be processed to attribute a completed reservation to Fluxidi. RateHawk may act as an independent data controller in this regard. Please also consult the RateHawk privacy policy.

Hotel descriptions, photos, prices, taxes, availability, amenities and cancellation policies come from RateHawk, accommodations and other providers. Fluxidi tries to present this information accurately, but does not independently verify all of it. Before confirming, always check the final price, terms and hotel details with the provider. This does not limit liability that cannot be excluded under mandatory law.

Fluxidi may display events based on a search term, region or location. The results may come from organisers, ticket platforms or other external data sources. Fluxidi is not an organiser or ticket seller, unless this is expressly stated otherwise for a specific offer.

Search location, search query and opened results may be processed to show relevant events and investigate technical errors. Dates, times, locations, availability, prices and terms may be changed by external providers. Always check important details with the organiser or ticket provider.

Fluxidi may use AI or automated rules for dispatch suggestions, route or traffic analysis, operational alerts, technical diagnostics and summaries. These features are supportive. Fluxidi does not make a solely automated decision that has legal or similarly significant effects on a person, unless there is a valid legal basis, appropriate safeguards and clear information in place beforehand.

Where necessary, data may be shared with:

• the transport company concerned, its authorised employees and drivers;
• Cloudflare for hosting, APIs, security and storage;
• Mapbox for maps, route and navigation features;
• Mollie or another selected payment service;
• Billit, Peppol or other invoicing and document services;
• Google for Google Play services and optionally Google Calendar;
• RateHawk / Emerging Travel Inc., accommodations and other hotel or travel providers;
• event, ticket or content providers when an external referral is used;
• professional advisers, insurers, public authorities or courts where this is necessary or legally required.

Fluxidi does not sell personal data to advertisers or data brokers.

Some suppliers process data outside Belgium or the European Economic Area. Where required, we use appropriate safeguards, such as an adequacy decision, European standard contractual clauses and additional security measures. With an external hotel or event service, that provider may also be responsible for its own international transfers.

We do not retain data longer than necessary for the purpose, contractual relationship, support, security, ride or compliance obligations, and legal evidentiary or retention requirements. Account data is deleted or anonymized after closure when further retention is not necessary. Detailed location data is restricted or deleted as soon as it is no longer needed for the ride, evidence, a dispute, or a legal obligation.

Invoices, accounting records, and data needed to establish taxable income may be retained for ten years in accordance with Belgian law. Backups and security logs are deleted or overwritten according to limited technical cycles.

Fluxidi uses appropriate technical and organizational measures, including encrypted connections, authentication, role-based access, company separation, server monitoring, limited logging, secure tokens, testing, and incident investigations. No system is entirely risk-free. In the event of a relevant data breach, we will comply with the legal notification and information requirements.

Depending on the circumstances, you may request information, access, rectification, deletion, restriction, portability, or object. You may withdraw your consent without affecting the lawfulness of processing carried out previously. Send your request to info@fluxidi.com.

When Fluxidi acts as a processor, we handle the request together with the transport company concerned. You can also submit a complaint to the Belgian Data Protection Authority via gegevensbeschermingsautoriteit.be.

You can request deletion via the deletion function in the app, through the public account deletion page, or via info@fluxidi.com. We may verify your identity or authority.

Data that is still necessary for tax, invoicing, ride or compliance legislation, fraud investigations, outstanding payments, disputes, or legal claims will only be deleted when the applicable retention obligation ends. Other data will be deleted or anonymized.

Fluxidi is a professional mobility platform and is not aimed at children. A ride for a minor is normally booked by a parent, guardian, school, organization, or transport company. Fluxidi does not include an anonymous or random chat function.

The website and app use necessary cookies or local storage for login, security, language, preferences and technical operation. Non-essential analytics or marketing cookies are used only when there is a valid legal basis and, where required, consent. External hotel or event services may place their own cookies in accordance with their own policies.

We may amend this policy when features, suppliers, legislation or data flows change. The current version and date of amendment are shown on this page.
