Fluxidi provides software to taxi, VVB, VTC, and other transport companies. The transport company is usually the data controller for personal data of its customers, passengers, drivers, vehicles, and rides. Fluxidi processes that data as a processor on behalf of the transport company.
Fluxidi itself is the data controller for account management, subscriptions, invoicing to business customers, security, technical support, website management, demo requests, internal administration, and compliance with legal obligations. Questions about a specific ride may therefore be forwarded to the relevant transport company.

- driver and vehicle data, such as profile, photo, availability, documents, permits, license plate, and vehicle type;
- passenger, booking, and ride data, such as pickup and destination address, date, time, comments, ride status, route, distance, duration, waiting time, and price;
- precise or approximate location data during features that require location;
- payment and invoice data, such as payment method, payment status, amount, currency, transaction reference, and invoice details;
- documents, images, or camera footage that the user consciously uploads or scans;
- hotel searches, stay dates, occupancy, and forwarded booking information when the hotel feature is used;
- event searches, selected region, opened results, and external references;
- technical data, such as IP address, device, operating system, app version, error messages, security logs, and synchronization status.

We process data to manage accounts and access rights, execute bookings and rides, dispatch drivers, calculate routes, offer navigation, determine distance and ride price, process payments and invoices, maintain audit and compliance data, provide support, prevent fraud, and secure the platform.

5. Location and navigation
Fluxidi may process precise location to determine the departure position, display a route, dispatch a driver, track an active ride, calculate distance and price, and enable rerouting. When the user consents and an active ride requires it, location processing may continue while the app is in the background or the screen is locked.
Location data is not sold and not used for advertising profiling. The user can disable location access via Android, but navigation, ride recording, dispatching, and distance calculation may then partially or completely not function.

Fluxidi may record ride events such as start, stop, status change, payment, cancellation, and technical synchronization. The internal Chiron functionality groups such events for audit, support, and compliance purposes. Only authorized users of the involved transport company and authorized Fluxidi support have access within their role and business context.

When the hotel search function is available, Fluxidi may display hotel information, search forms, widgets, or referrals from RateHawk / Emerging Travel Inc. In the current affiliate and referral model, Fluxidi provides a technical interface and is not a hotel, accommodation provider, tour operator, or travel agency. The hotel booking is processed by RateHawk and/or the relevant accommodation or supplier under their own terms and privacy policy.
When you use a RateHawk link, search form, or widget, search data and an affiliate cookie or similar identifier may be processed to attribute a completed booking to Fluxidi. RateHawk may act as an independent data controller in this process. Please also refer to the RateHawk privacy policy.

Fluxidi may use AI or automated rules for dispatch proposals, route or traffic analysis, operational alerts, technical diagnostics, and summaries. These functions are supportive. Fluxidi does not make solely automated decisions that have legal or similarly significant consequences for a person unless there is a valid legal basis, appropriate safeguards, and clear information beforehand.
10. With whom do we share data?
Data may be shared as necessary with:
- the relevant transport company, its authorized staff, and drivers;
- Cloudflare for hosting, APIs, security, and storage;
- Mapbox for maps, routing, and navigation features;
- Mollie or another chosen payment service;
- Billit, Peppol, or other invoicing and document services;
- Google for Google Play services and optionally Google Calendar;
- RateHawk / Emerging Travel Inc., accommodations, and other hotel or travel providers;
- event, ticket, or content providers when an external referral is used;
- professional advisors, insurers, governments, or courts when necessary or legally required.

Some suppliers process data outside Belgium or the European Economic Area. Where required, we use appropriate safeguards, such as an adequacy decision, European standard contractual clauses, and additional security measures. In the case of an external hotel or event service, that provider may also be responsible for its own international transfers.

We do not keep data longer than necessary for the purpose, contractual relationship, support, security, ride or compliance obligations, and legal evidence or retention requirements. Account data is deleted or anonymized after closure when further retention is not needed. Detailed location data is limited or deleted as soon as it is no longer needed for the ride, evidence, a dispute, or a legal obligation.
Invoices, accounting documents, and data needed to determine taxable income may be kept for ten years in accordance with Belgian law. Backups and security logs are deleted or overwritten according to limited technical cycles.

Fluxidi uses appropriate technical and organizational measures, including encrypted connections, authentication, role-based access, company separation, server control, limited logging, secure tokens, testing, and incident investigation. No system is completely risk-free. In case of a relevant data breach, we follow legal notification and information obligations.

You can request deletion via the deletion function in the app, via the public account deletion page, or via info@fluxidi.com. We may verify your identity or authority.

Fluxidi is a professional mobility platform and does not target children. A ride for a minor is normally booked by a parent, guardian, school, organization, or transport company. Fluxidi does not include an anonymous or random chat function.

The website and app use necessary cookies or local storage for login, security, language, preferences and technical operation. Non-essential analytics or marketing cookies are only used when there is a valid legal basis and, where required, consent. External hotel or event services may place their own cookies according to their own policy.
